Privacy Policy

PC Scientist respects your privacy and is committed to handling personal information responsibly. This Privacy Policy explains how we collect, use, store and protect your information when you contact us, visit our website, request a quote, book a service or otherwise interact with our business.

Last updated: 3 June 2026.

Why we collect your information

We collect personal information only where it is reasonably necessary to operate our business and provide our services. This may include communicating with you, preparing quotes, scheduling appointments, completing services, processing payments, maintaining records, improving our website experience and meeting legal or regulatory obligations.

Types of information we may collect

➡️ Your name, phone number, email address and service address

➡️ Billing details and payment-related information, including payment status, invoices, deposits, and transaction references processed through our payment providers

➡️ Online booking details such as service type, preferred date and time, issue description, client type, optional issue photos, and your selected payment option (pay in full, deposit, or pay when we arrive)

➡️ Travel and call-out estimate information calculated from your service address, including approximate distance and fee band, where onsite booking is requested

➡️ Enquiry details, service history and communication records

➡️ Information submitted through forms, bookings, surveys or support requests

➡️ Website usage information such as cookies, analytics data and device/browser activity

➡️ Employment or contractor application information if you apply to work with us

How information may be collected

➡️ Directly from you through phone calls, emails, forms, quotes, invoices, the online booking app, or other service bookings

➡️ Through our website, cookies, analytics tools and digital platforms

➡️ Through social media, advertising forms or online enquiry channels

➡️ From a person authorised to act on your behalf

➡️ From publicly available sources where appropriate and lawful

How we use your information

We use your information to respond to enquiries, deliver services, arrange appointments, issue quotes and invoices, provide support, maintain service records, improve our operations, protect our business from misuse or fraud and communicate important updates relevant to your booking or request.

Online booking, pricing estimates and payments

➡️ When you use our online booking app, we collect the information needed to schedule your appointment, show applicable visit fees and payment choices, prepare invoices, and deliver the booked service.

➡️ For onsite bookings, your service address may be used to generate an estimated call-out or travel charge for your area. This estimate is shown to help you understand likely costs before you confirm your booking. The final call-out fee is confirmed onsite and reflected on your invoice where applicable.

➡️ If you choose pay in full or pay deposit, payment is processed through Stripe or another secure payment provider. We receive booking and payment status information such as whether a deposit or full payment was completed, but we do not directly store your full card number on our own systems.

➡️ If you choose pay when we arrive, we still collect and store your booking details to confirm your appointment. No online payment is required at the time of booking confirmation for that option.

➡️ Booking confirmation and service-related emails or messages may be sent using the contact details you provide during booking.

➡️ Optional issue photos uploaded during booking are used only to help us understand your request and prepare for service, unless a longer retention period is reasonably required for service records, dispute review, or legal obligations.

Storage of information

Your information may be stored in secure digital systems, business software, accounting platforms, email systems and related databases used to operate PC Scientist. We take reasonable steps to keep this information secure and accessible only where needed for legitimate business purposes.

If you do not provide information

If you choose not to provide certain information, we may be unable to prepare a quote, confirm a booking, process a payment, provide a service or respond properly to your request.

Disclosure of information

We do not sell your personal information. We may disclose information to trusted service providers or business systems that help us operate, such as payment processors (including Stripe), website and booking tools, mapping or distance-calculation services used for call-out estimates, communication platforms, accounting systems, email delivery providers, or other providers directly connected to delivering our services. Information may also be disclosed where required by law.

Keeping information accurate

➡️ We aim to keep records accurate, relevant and up to date

➡️ We may update records when you provide new or corrected details

➡️ You should let us know as soon as possible if your contact or billing information changes

Security

➡️ Access controls are used to limit who can view or handle information

➡️ We use reasonable electronic safeguards such as secure systems, passwords and related protections

➡️ We maintain records and audit trails where appropriate

➡️ Information is treated as confidential and handled with care

Cookies and analytics

Our website may use cookies, analytics tools and related technologies to understand website traffic, improve performance, measure advertising effectiveness and enhance user experience. These tools may collect technical information such as browser type, pages visited, time on site and general interaction patterns.

Marketing communications

From time to time, we may send marketing or promotional information by email, SMS, phone or other channels where permitted. You can opt out of marketing communications at any time by using the unsubscribe option provided or by contacting us directly.
